Privacy Policy
Last updated: 23 August 2026 · Effective date: 23 August 2026
🔒 Short version: Most VertoPDF tools process your files entirely inside your browser — local processing where supported anywhere. A few tools (Word/Excel/PowerPoint/HTML conversions, and OCR PDF) require sending your file to a server for processing; files are deleted immediately afterward and never shared with anyone else. Every tool on VertoPDF is free, with no limits.
1. Information We Collect
We collect minimal information necessary to provide the VertoPDF service:
- Account information (if you register): email address, and optionally first/last name, country, and phone number. Authentication and account storage is handled by Firebase (Google Cloud) — see Third-Party Services below.
- Digital Business Card data (only if you use that specific tool): name, designation, company name, company address, email, website, general and mobile phone numbers, and any cover/profile photos you upload. This data is intentionally public — see the dedicated section below.
- Conversion history (signed-in users only): the names of files you've converted and when, shown to you on your own dashboard. We do not read or retain the contents of these files after processing.
- Log data: our hosting providers (Netlify, and Google Cloud for OCR PDF) may collect standard server logs including IP addresses, browser type, and request times, used solely for security and uptime monitoring.
2. How We Use Your Information
We use the information we collect to:
- Provide, maintain, and improve the VertoPDF service
- Let you access your own conversion history and manage your account
- Respond to support requests and questions
- Detect, prevent, and address technical issues or abuse
- Maintain an internal record of registered accounts for our own operational purposes (see Data Retention)
We do not sell your personal data to third parties. We do not use your data for advertising profiling.
3. File Processing & Privacy
VertoPDF is designed with privacy as a core principle:
- Browser-based tools (PDF merge, split, compress, rotate, protect, image conversion, QR-code-free tools, etc.) process all files locally in your browser using JavaScript. Local tools do not upload your files; cloud-assisted tools use secure processing.
- Cloud-assisted tools (Word to PDF, Excel to PDF, PowerPoint to PDF, PDF to Word, PDF to Excel, PDF to PowerPoint, HTML to PDF) require server-side processing. For these tools, your file is sent securely over HTTPS to CloudConvert, which deletes files immediately after conversion. Please review CloudConvert's Privacy Policy for details.
- OCR PDF is processed on our own server (hosted on Google Cloud), not a third party. Your file is sent over HTTPS, processed, and deleted immediately afterward — it is never retained, inspected, or shared.
4. Digital Business Card — Public Data
The Digital Business Card tool works differently from every other tool on VertoPDF, and it's important you understand this before using it: the information you enter is designed to be public.
- Anyone with your card's link, or who scans its QR code, can view the name, designation, company, address, phone numbers, email, website, and photos you've entered — without needing an account or our permission.
- This data is stored in our database (Firebase/Firestore and Firebase Storage) so it can be served to anyone who visits the link, for as long as your card exists.
- Only enter information you're comfortable sharing publicly, the same way you'd think about what goes on a printed business card. You can edit or remove this information at any time from the Digital Business Card tool while signed in.
5. Cookies & Local Storage
We use browser local storage (not cookies) to store:
- Your login session token (if you create an account)
- Your plan status, for accounts that have one
We do not use third-party tracking cookies. Google AdSense (shown to free users) may set cookies for ad personalisation; you can opt out via Google's Ad Settings.
6. Third-Party Services
VertoPDF integrates with the following third-party services. Each has its own privacy policy:
7. Data Retention
We retain account data for as long as your account is active. If you delete your account, we will remove your personal data within 30 days, except where retention is required by law.
Files processed locally are not uploaded by VertoPDF. Files sent for cloud-assisted conversion or OCR are processed by the applicable service and handled according to the stated retention policy. Digital Business Card data persists until you delete it or your account.
For our own operational purposes, we maintain an internal, access-restricted export of registered account details (not file contents or Digital Business Card data). This is never shared outside our organization or sold.
8. Your Rights
Depending on your location, you may have the following rights regarding your personal data:
- Access: request a copy of the personal data we hold about you
- Correction: request correction of inaccurate data
- Deletion: request deletion of your account and associated data
- Portability: receive your data in a machine-readable format
- Objection: object to processing based on legitimate interests
To exercise any of these rights, please contact us at the address below. We will respond within 30 days.
9. Children's Privacy
VertoPDF is not directed at children under the age of 13. We do not knowingly collect personal information from children under 13. If you believe we have inadvertently collected such information, please contact us immediately and we will delete it.
10. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify registered users of material changes by email or by placing a notice on the site. The "Last updated" date at the top of this page will always reflect the most recent revision. Continued use of VertoPDF after changes constitutes your acceptance of the updated policy.
